The enthusiasm continues to grow for
The Great Slow Travel Gathering 2008. For those who were unable to attend,
Sunday afternoon's chat was lively and instructive, with a free-flowing exchange of ideas. Leslie Erickson, Kaydee, Sheena, and Teaberry were suggested by Pauline to get the ball rolling on planning, and the four of us have had several virtual meetings, gathering together the thoughts and ideas that our SlowTalk members have provided. In this spirit of working together, we would like to present our suggestions concerning the objectives of this Gathering as well as some of the key parameters for planning the event. We want your input on the approach we are proposing!
In a few days we will post again with an online survey, asking for your input on several very specific questions relating to the date, the location, the type of facilities or venue, and the cost of the Gathering. The results of this survey will be shared with everyone after it's compiled. We're working now to identify an online survey process we can use, and we’re also completing some due diligence to finalize the locations we’ll present for your consideration.
We feel that in order to make this
first Great Slow Travel Gathering a success and help pave the way for the future Gatherings, we want to "digest" your information and move forward step by step. We do not believe this will be a long, slow process, just a careful one. Hopefully this can serve as a guide or model for our future Gatherings, too. Timing We recommend the first Great Slow Travel Gathering be held in
March 2008.
A 2008 date gives us plenty of time to plan for our venue and accommodations and for members to block this date on their calendars. The March timeframe seems to support the highest possible participation, since it avoids the major travel/vacation season (May 1 – October 31), the winter holiday season (mid November – early January), the worst winter weather (January – February), and spring religious holidays and spring breaks (April).

Location Based on the objectives and the time frame, we identified the following critieria for selecting a location. We suggest that whatever location is selected this year, a location in a different part of North America be selected for the next Great Slow Travel Gathering.
* Mild weather in March
* North America – specifically, the Southern half of the USA
* Easy to reach and get around
* Reasonable cost of transportation, lodging and meals
* Interesting, appealing destination; things to do and see
* A variety of possible venues available
* Availability of Slow Travel members to support logistics
A variety of locations have been suggested, including the possibility of Europe. Since this will be a weekend gathering and one of our objectives is to enable the largest number of members to attend, the Gathering needs to be in North America where the large majority of our members live. We want a location with mild weather in March to avoid possible weather issues and enable us to enjoy the outdoors. This criteria leads us to a focus on the southern half of the USA.

Tell us in Next Week’s Survey: We will propose three or four specific locations and provide some information on each of those locations. Most importantly, we’ll ask for your input so we can finalize our first and second choice locations for 2008 and get started picking a specific venue.

The Great Slow Travel Gathering 2008What would the Gathering itself be? Although a more structured “convention” with lots of seminars and activities is one option, we suggest this first Gathering be more informal. It can always develop and change in future years. We suggest the following general approach to the weekend:
* Arrival on Friday afternoon
* A welcome gathering and dinner on Friday evening
* Flexible day on Saturday, with optional activities based on the location (e.g. yoga, golf, sightseeing, special interest gatherings)
* Main dinner on Saturday evening (perhaps with special entertainment)
* Farewell brunch on Sunday
We’ve identified some words we’d like to describe the style and feeling of our first Great Slow Travel Gathering: welcoming, warm, fun, friendly, energizing, relaxed, informal, creative, memorable.
And of course we know that great food and wine are an important part of any Slow Travel gathering!
There has been some discussion about the inclusion of children at this special weekend. We believe it’s important that children be welcome, at the parents’ discretion. We really don’t think there will be many children based on the demographics of our group and the fact that airline transportation will likely be involved for many members. If there are more than a few children, some special activities will be arranged for them. We believe that including these younger Slow Travelers will enhance our weekend, not detract from it.
Several people have also suggested the possibility of a gathering where members can bring food or do some cooking. Although this will be difficult since people will be coming long distances, it may be possible in some types of properties like a smaller complex where our group would be the only guests.
Tell Us Now: What do you think about the style and feeling of the Gathering as we’ve described it? How else would you describe an ideal Great Slow Travel Gathering weekend? What else would you like to see happen there this first time?

In next week’s survey we’ll ask for your input on various types and styles of venues (e.g. large hotel, retreat complex, variety of B&Bs/hotels).

ArrangementsSince The Great Slow Travel Gathering will be organized by volunteers, it’s important to keep the logistics as simple as possible. We suggest the following:
* A leader and small steering team
* Small committees to organize specific aspects of the weekend
* No risk to any member for assuming upfront costs
* Advance registration by a defined cut-off date
* Some advance payment for central charges (group meals, overhead costs)
* Creative approaches to local transportation (limit the need to rent cars)
* Investigation of group rates on accommodations
* Members reserve and pay for their own accommodations
